How to Set Up Your Email on Outlook, iPhone and Android: IMAP and SMTP Settings

In short: These are the IMAP and SMTP settings for your ÇAP Hosting mailbox: in Outlook, iPhone or Android, use mail.caphosting.net as the incoming server (IMAP, port 993, SSL/TLS) and mail.caphosting.net as the outgoing server (SMTP, port 465 SSL/TLS or 587 STARTTLS). Your username is your full email address and the password is the one you set when you created the mailbox.

1. Get Your Settings Ready

If you haven't created a mailbox yet, follow our guide to creating an email account in CWP first. Then keep these details at hand:

Why mail.caphosting.net rather than mail.yourdomain.com? The SSL certificate on our mail server is issued for mail.caphosting.net. Using that name as the server keeps the connection encrypted and avoids "certificate not trusted" warnings. If your welcome email lists a different server name, use that one instead.

2. IMAP or POP3?

IMAP keeps your mail on the server and syncs every device: a message you read on your phone also shows as read on your computer. Choose IMAP if you use the same mailbox on more than one device. POP3 downloads messages to a single device; depending on the client's settings they may be removed from the server and won't appear elsewhere. If you do use POP3, pick port 995 with SSL/TLS.

3. Add It to Outlook (Windows)

New Outlook:

  1. On the View tab, select View settings, or on the File tab, select Account info.
  2. Go to Accounts > Your accounts.
  3. Under Email accounts, select Add Account, enter your email address and select Continue.
  4. If Outlook can't find the settings automatically, choose IMAP as the account type and enter the server, port and encryption values from the table above.

Classic Outlook:

  1. Select File > Add Account.
  2. Enter your email address, select Advanced options, check Let me set up my account manually and select Connect.
  3. Choose IMAP as the account type.
  4. Enter mail.caphosting.net, 993, SSL/TLS for incoming mail and mail.caphosting.net, 465, SSL/TLS for outgoing mail, then select Next.
  5. Enter your password and select Connect.

4. Add It to iPhone or iPad

  1. Go to Settings, then tap Apps.
  2. Tap Mail, then Mail Accounts.
  3. Tap Add Account, enter your email address and tap Next.
  4. Tap Add Other Account, then Mail Account.
  5. Enter your name, email address, password and a description, then tap Next.
  6. If Mail can't find the settings, choose IMAP. Under Incoming Mail Server and Outgoing Mail Server, enter mail.caphosting.net as the host name, your full email address as the username, and your password.
  7. Tap Next, and once the settings are verified, tap Save.

The menu names follow Apple's guide to adding an email account to iPhone; older iOS versions may label them slightly differently.

5. Add It to Android (Gmail App)

  1. Open the Gmail app.
  2. At the top right, in the search bar, tap your Profile picture.
  3. Tap Add another account, then Other.
  4. Enter your full email address and tap Next.
  5. Select Personal (IMAP), enter your password and tap Next.
  6. For the incoming server enter mail.caphosting.net, port 993, SSL/TLS; for the outgoing server enter mail.caphosting.net, port 465, SSL/TLS, then follow the on-screen steps.

Other apps such as Samsung Email use different menu names, but the values you enter are the same.

6. Test Your Setup

  1. Send a test message to yourself and to a different address (for example your personal email).
  2. Reply from that other address and check that the reply lands in your inbox.
  3. If you use IMAP, read the message on one device and confirm it shows as read on the other.

Common Problems and Fixes

  • Authentication failed: Make sure the username is your full address, not just the part before the @. If you've forgotten the password, you can reset it under Email Accounts in the CWP panel.
  • Certificate warning: Check that the server name is mail.caphosting.net and that encryption is set to SSL/TLS (for 465) or STARTTLS (for 587).
  • Receiving works but sending doesn't: Make sure authentication is turned on for the outgoing server. If your network blocks port 465, try port 587 with STARTTLS.
  • No mail arrives at all: Check that your domain's MX record points to our mail server — our DNS records guide explains what the MX record does.

Frequently Asked Questions

What username should I use in my email client?

Your username is your full email address (for example [email protected]). The password is the one you set when you created the mailbox in CWP.

Should I use IMAP or POP3?

Use IMAP (mail.caphosting.net, port 993, SSL/TLS) if you read mail on more than one device. POP3 (port 995) downloads messages to a single device and doesn't sync them across devices.

Should I use port 465 or 587 for outgoing mail?

Use port 465 with SSL/TLS first. If your network blocks it, try port 587 with STARTTLS; either way, SMTP authentication must be turned on.

Can I use the same mailbox on my phone and my computer?

Yes. With IMAP on every device, messages stay on the server and read or deleted status syncs everywhere.
