Why Are My Emails Going to Spam?

Having emails sent from your own domain land in the recipient's spam or junk folder is a common issue that hurts both communication and reputation. There are several technical and content-related reasons this can happen.

Missing SPF, DKIM, and DMARC Records

Receiving mail servers check DNS records called SPF, DKIM, and DMARC to verify that an incoming email genuinely originates from your domain. If these records are not configured correctly, your email may be flagged as suspicious or spoofed and routed to spam.

Blacklisted IP Address

If your server uses a shared IP address, that IP may have been blacklisted due to abuse, such as spam sent by another user on the same server. In that case, your emails can be flagged as spam even though you did nothing wrong.

Content-Based Filtering

Excessive use of capital letters, too many exclamation marks, spam-associated words such as free or you've won, or an overload of links can trigger content filters.

Low Sender Reputation

A new domain or an account that recently started sending a large volume of email may not yet have built a positive sender reputation. This reputation improves over time through consistent sending and low complaint rates.

Recommended Fixes

  • Configure your SPF, DKIM, and DMARC records correctly.
  • Consider using a dedicated transactional email service for bulk sending.
  • Remove spam-trigger phrases from your email content.
  • Regularly check whether your sending IP address appears on any blacklists.

Most of these steps are one-time technical fixes, and once configured correctly, they permanently improve your email deliverability rate.

Frequently Asked Questions

Why are my emails going to the spam folder?

The most common causes include missing or incorrect SPF/DKIM/DMARC records, a low sender reputation, content that contains spam trigger words, and bulk sending.

What are SPF, DKIM and DMARC?

They are DNS-based email authentication records that verify that your emails were really sent from your domain. When they are configured correctly, your emails are much less likely to end up in spam.

How can I add these records?

You can add SPF, DKIM and DMARC records in the DNS management section of your CWP panel. If you would like help with the configuration, you can contact the ÇAP Hosting support team.
